BACKGROUND

Since 1961, the Minnesota Twins have held the spotlight in Minnesota as the state’s only major league baseball team. Throughout the past five decades, the Twins have won two World Series and a number of Division titles.

In 2010, the Minnesota Twins moved into Target Field, the first facility built specifically for the team in downtown Minneapolis. Target Field was ranked as the number one baseball stadium experience in North America and brought the 2014 Major League Baseball All-Star game to the Twin Cities.

CHALLENGE

Upon moving into its own stadium, the Minnesota Twins sought a comprehensive facility maintenance management solution to keep the stadium game-day and event ready, as well as help maintain the condition of the facility for years to come.

As a public-facing facility, the Twins required a solution to also meet their unique demands for events. Key priorities included open access to employees outside of the facilities department, links between emergency response plans and facility operations, and a method to track on-site incidents.

SOLUTION

360Facility served as a comprehensive solution that met the dynamic needs of the major league baseball team. Because it allows unlimited users with unique security settings, the Twins enable access to all staff members to report any facility issues. From there, the system automatically assigns the request to appropriate staff members.

360Facility’s unlimited users streamlined the organization’s vendor management process, allowing external contractors direct access into the system to complete work. Beyond gaining insight into the vendor’s workflow, the Twins can also use the system to track certificates of insurance and other important documents to ensure compliance and reduce risk.

Furthermore, 360Facility made it easy for the Twins to establish detailed preventive maintenance programs for its equipment.

“Any asset within the facility has a preventive maintenance program and schedule against it,” said Gary Glawe, senior director of ballpark systems, Minnesota Twins Baseball Club. “In addition, if there is ever a non-scheduled event that happens, we can track that within the maintenance log.”

Extending beyond facility maintenance management, 360Facility Projects helps the organization track larger-scale projects beyond work orders, including capital projects and budgeting. The Twins use the system to track capital projects that were approved in its annual review process, enabling it to understand key costs and progress on long-term projects.

From the event side, the Twins used the 360Facility Emergency Planning to integrate its operating and emergency response plans within the system.

“If we ever had an emergency event and had to evacuate the facility, we could access our emergency plans or business continuity plans anywhere we can get on the Internet since 360Facility is a web-based program,” said Glawe.

The Twins also use 360Facility Incident/Event to report any incidents that occur on-site. The module allows the Twins to monitor and audit essential systems like fire mechanisms and AEDs.

As a single source of truth, 360Facility creates a record that can be accessed and reported upon to optimize the safety of attendees. In addition, any incident or inspection can be linked to a work order and tracked within the system’s maintenance log.

RESULTS

Through the implementation of 360Facility, the Minnesota Twins were able to set internal service-level agreements (SLA) to optimize the facilities team’s efficiency and improve internal customer satisfaction.

“Because of 360Facility, we were able to establish a baseline SLA metric for our team to manage their work and prioritize their time,” said Glawe. “360 Facility allows for easy metrics to be put into place to track our success.”

In addition, with 360Facility, the organization has improved the day-to-day operational efficiency of its facilities department.

“360Facility is a full-time employee that doesn’t make a mistake, go on vacation or get sick,” said Glawe. “If you provide the system the right data, you can rely on it being a strong asset to maintain your facilities.”
