Accruent AI principles
01. Transparency
To support customers' compliance programs, we are clear about where AI is used in our products. AI feature development is highlighted in our roadmaps and disclosed in customer release notes and user documentation.
02. Control
Customers remain in control of when and how they use our AI features and products. Our customers can enable, disable and scope AI features.
03. Consent
We only use customer data as permitted under our customer agreements. We will only use customer data to train Accruent AI models with permission. Third-party LLM providers are not allowed to use customer data to train or improve their services.
04. Security
Protecting customer data is fundamental to responsible AI development. Our AI systems are developed, operated, and monitored using enterprise-grade software-security controls and sit inside our SOC 2 and ISO-aligned programs.
05. Privacy
AI capabilities are built to protect customer, personal, and confidential information. Each customer's data and prompts are logically segregated, with isolation preserved end-to-end, and we support our customers' compliance with GDPR and applicable privacy and AI laws.
06. Accountability
AI must be used responsibly and perform consistently. Our governance structures and internal controls are designed to help keep us accountable. When we use AI, we ensure that humans remain responsible for important decisions about our business and our products.

Frequently Asked Questions
Is there AI in the Accruent product that I use?
AI feature development is highlighted in our roadmaps and is disclosed in customer release notes and user documentation.
How can this EMS scheduling software be used in universities?
Customers may enable, disable or scope use of Accruent AI features and functionality and decide whether AI should be applied to their content. If you opt out, the underlying product functionality is unaffected; AI features are additive rather than required for core workflows.
Does Accruent train AI models using customer data?
You control how your data is used. Customer data is never used to train foundational LLMs on public AI platforms. We will only use customer data to train Accruent AI models with permission. The LLM providers we use are not allowed to use your data to improve their services.
What AI models or LLM providers does Accruent use?
Our primary AI is through Microsoft Foundry, via Azure / Microsoft 365 and Microsoft Copilot Studio (which powers Crue, Accruent's AI assistant). Microsoft hosts the underlying language models and handles the orchestration that makes those features work, but Microsoft doesn't use your data to train its own models.
Can other customers access our AI prompts and outputs?
Accruent strictly isolates your data. We keep customers in control so users can only see and interact with files and content they are allowed to access. Your data, prompts and AI outputs are designed to stay within your own environment and are not used in or mixed with other customer data. Once an answer is returned from our AI model provider, the inputs and outputs are deleted from that provider's system.
How do you put guardrails on AI to make sure it's safe?
Accruent evaluates LLMs offered by top-tier AI providers on a trust and safety basis. We only engage with providers that have rigorous controls in place designed to assess and mitigate bias and discriminatory outputs. We also employ internal testing and controls to ensure that our AI meets our high standards of quality and safety.
Does Accruent have an AI governance program?
Yes, our AI governance team regularly reviews legal, regulatory, technical, compliance and security considerations, as well as industry-specific requirements, to ensure our AI governance is designed to meet client needs and in alignment with applicable laws and regulations. Representatives from our security, legal, compliance, product and engineering departments meet regularly to ensure conformance to customer needs and applicable requirements.
How does Accruent ensure compliance with applicable international AI laws?
What about AI governance standards and certifications?
AI tools come with Accruent's existing enterprise-grade security program, plus AI-specific controls layered on top. Our AI governance roadmap includes incorporation of the standards found in ISO 42001 and the National Institute of Standards and Technology AI Risk Management Framework (NIST AI RMF). The underlying Microsoft Foundry models are operated under Microsoft's enterprise security and compliance framework, including SOC 2, ISO 27001 and ISO 42001.
