Coral Lakes Association Embraced the Cloud for a Smarter Way to Manage Events

The Organization

Based in Boynton Beach, Florida, Coral Lakes manages more than 50 clubs, seven associations, multiple committees, special events and resident trips. All activities flow through one central calendar that nearly every resident relies on. With hundreds of groups and a high scheduling volume, accuracy is essential.

The Challenge

The community relied on an onpremises EMS system that created operational risk whenever it went offline. Without live access, staff could not book, edit or verify events, and printed backups quickly became outdated. Historical changes were not visible, creating additional vulnerability. With more than 2,500 residents depending on accurate schedules, protecting data became a critical priority.

The Solution: Migration to the Cloud

The decision to migrate to the cloud came from the organization’s need for stability, reliable backups and stronger business continuity. Coral Lakes partnered with Powernet, its IT support provider, and worked with the Accruent team to move the entire EMS calendar system off its onpremises servers and into a fully supported cloud environment.

Moving thousands of events and years of historical data required careful planning, but the transition exceeded expectations. Accruent kept the team updated throughout the process and provided clear communication at every step to ensure nothing came as a surprise.
