Brown University is a prestigious Ivy League research institution located in Providence, Rhode Island, serving approximately 10,700 students.
Its campus spans more than 275 buildings across 146 acres, blending historic structures, aging infrastructure, modern renovations, and new construction.
Brown historically relied on a physical plan room for facilities documentation, later digitizing records and implementing Accruent Meridian.
While this improved access to information, Brown’s operational needs continued to evolve, particularly as teams became more mobile and the university looked to adopt a more modern, cloud-first approach.
The university identified challenges such as:
“People struggle to store documents consistently. Some things are tucked away in a Google Drive or on their desktop, and when someone leaves, those files can be lost.” — Colin Johnson, Director of Facilities Systems and Services
Brown launched an RFI and RFP process and partnered with Hagerman & Company to evaluate modern document management platforms that could support cloud access.
Key priorities included:
Brown ultimately selected Accruent RedEye. Hagerman assisted with migrating documents from Meridian, validating metadata and helping establish a more standardized approach to managing engineering information.
The transition to RedEye improved how Brown manages engineering documentation across its 275-building campus. Teams can now access, search and utilize critical information in real time, both in the field and in the office.
“I've been really impressed with what the mobile capabilities are that we've seen so far. Our technicians that rely on these documents out in the field are going to be very happy with that mobile app.”
- Colin Johnson, Director of Facilities Systems and Services
